Remove Someone's Access from Multiple Google Drive Files

If you have shared Google Drive files and documents with someone who has already left UCSC, will be retiring or graduating, or simply changing positions and leaving your department, make sure to change your sharing settings if you no longer want that person to have access to your documents in Google Drive.

As long as that person's UCSC account remains open, they will continue to have access to your documents unless you change your sharing settings. 

Global Search

Find out who has access to the files you own by doing a global search in Google Drive.  
  • Open up Google Drive and type in the search field,
    to:cruzid@ucsc.edu owner:me 
    (replace the cruzid@ucsc.edu with the person's email address)
Your search results will include all files that you have shared with that person. 

Remove Access from a Single File

  1. Select a file or folder.
  2. At the top, click the share icon .
  3. At the bottom right, click Advanced.
  4. Click the X next to each person you want to remove.
  5. Click Save changes.
Remove Access from Multiple Files
  1. Perform a global search (instructions above)
  2. Select all the files by highlighting the first file, hold down your keyboard's Shift key, then move the arrow key down until all documents are highlighted. 
  3. At the top, click the share icon .
  4. Click the X next to each person you want to remove.
  5. Click Save changes.
  6. This action will remove the person from the multiple files you highlighted.
